Sample Accrual Work Code Configuration

Prior work code knowledge is required and you must have the Non-Working code(s) configured before starting this task.

To create a work code for banking time, accruing time, or reflecting time earned at least two codes are required:
  • A Working code to add (+) hours to a bank.
  • A Non-Working code to subtract (-) hours from a bank.
The bank of hours associated with a work code is created by their common Group number; for example Vacation Time-Off (-) is in Group 5, Vacation Earned (+) is in Group 5, therefore the bank of shared hours for these two work codes is Group 5.
  1. Go to Setup > Codes > Work Codes.
  2. Click Add to create a new work code.
  3. Enter a name, an abbreviation, and select a color. Specify in the label that this code is an accrual type work code such as Comp Time Earned, Vacation Accrual, Sick Bank, and so on.
  4. In Type, select Working.
  5. In Properties, select Hidden and No Roster Impact.
  6. In the Accrual section, in Group enter a number.

    You must use the same group number on both codes; the Working and Non-Working code. For example, Comp Time Earned and Comp Time Taken are Group 1, Sick Earned and Sick are Group 2, Vacation Earned and Vacation are Group 3, and so on.

  7. Keep the default settings and be sure the Effective Date is blank on the Working (Earned) type code.
  8. In Requests Too, the standard is Future.
  9. Configure the Logging section, if applicable to this code.
  10. Configure the Authority section.
  11. Click Save.

    Additional settings may be required to produce the desired output. Contact a Kronos application expert for assistance if needed.

Go to the Non-Working code that maps to this new accrual code; for example Comp Time Taken, Vacation, Sick. Keep the standard settings and enter the corresponding Group number in the Accrual section to link the time taken and time earned work codes.

Important: Be sure the Non-Working Code contains the Effective Date:01/01/1900 to immediately deduct the time taken from the bank, and prevent personnel from overdrawing their banks with future leave requests.
