InTouch Timeclock Integration

InTouch Timeclock Device integration is an add-on licensed component that allows employees to submit time-entry requests in this application using InTouch device Smart Views.1

Note:

Only the ability to submit time-entry requests, such as time-off, or sign up codes are available for Workforce Ready, and Workforce Dimensions. The ability to edit or remove a time entry requests is not available using an InTouch device.

Smart Views for InTouch devices are configured in either Workforce Ready, or Workforce Dimensions. Please refer to setup documentation in the corresponding application to configure Smart Views for Intouch devices. URLs for this application are referenced in System > Device Manager. Terminology and Application Behaviors

"Time-entry" requests in this application are called work codes, and rules applied to time-entry requests are called dynamic issues and static issues. These issues are used to validate whether an employee’s time-entry is valid in relation to your business rules, such as accrued time, and minimum staffing levels. Work codes can be configured with or without dynamic issues to automatically approve, deny, or convert the work code (time-entry) to a "request".

A detail code, simply put, is additional information that can be applied to a work code, such as a project code, or reasons for sick time, such as spouse, self, child. Detail code configuration allows for free form text, or dynamic values (predefined text). This behavior results in two possible field entries. Workforce Ready allows for free form text, or predefined values and results in one field entry. For this reason the InTouch clock Smart View will present the user with a Detail Code free-form text field, and a Detail Code field with predefined values when present. Should both fields be populated upon submission, the free form text field will override the predefined value.

ONE, or TWO - ASTERISKS...

This application can be configured to automatically approve a work code if it passes the rule criteria, or deny the work code request if it fails, or deny and convert the work code status to a request.

This application can be configured to deny and then convert the work code to a request. This functionality is used to minimize the number of work codes an administrator approves.

A work code displays an asterisk next to the work code to indicate a request status. The asterisk is also visible in the Add window next to any dynamic, or static issue that will convert the work code to a request if denied; for example:* This code will need to be approved.

The asterisk also appears in the Smart View next to a dynamic, or static issue when the user is not authorized to override the issue. This means it is possible to see two consecutive asterisks; for example: ** This code will need to be approved. The first asterisk denotes the user is not authorized to override the issue. The second asterisks denotes the work code was denied but, converted to a request.

1 An InTouch Timeclock Device license is required in this application to support InTouch devices.
