Vacancy Strategy Field Descriptions

Field Name Vacancy Strategy ‘General’ Field Description
Name Label. Define usage and be concise; this will be accessible in the Position area.
Fill Priority This value defines which vacancy strategy has the highest priority when multiple vacancy strategies are simultaneously active on the Roster. The lowest number has the highest priority.
 
Note:

Fill Priority can be defined in a List, a Position, and a Vacancy Strategy. The fill priority defined in a List takes precedence over Position and Vacancy Strategy fill order. The Position takes precedence over Vacancy Strategy fill order.

By Date Controls fill order numbering on the Roster when multiple dates are involved in a single build.
Minimum vacancy (minutes) Enforces that any vacancy created is not less than the value in this field.
  Examples:
  • Suppose this value was set to 240 minutes and the vacancy was for 24 hours, then the vacancy’s duration remains at 24 hours.
Merge adjacent vacancies prior to processing Merges multiple vacancies within the same position to create and staff one vacancy. Suppose this value was set to 240 minutes and the vacancy was for 2 hours, then the vacancy’s duration changes to 4 hours.
  Example: A person takes 12 hours of sick leave and 12 hours of vacation leave to vacate their assigned position.
  • If checked, both 12-hour vacancies are merged together to create one 24-hour vacancy.
  • If unchecked, each code creates a vacancy. There are now two separate vacancies which can be staffed by one or two separate employees.
Show name in assignment busy vacancy A visual indication that a regularly scheduled person remains on-duty for that day but working somewhere else on the Roster. The regularly scheduled person’s name displays in red until that position is staffed.
  Example:
  • Suppose, Team 2 is overstaffed so a Police Officer is moved to Team 1 which is short an officer. If checked, the officer’s name remains in his regular assignment in Team 2 in red font and with question marks to indicate that this is a vacancy.
  • If unchecked, the Police Officer’s name does not remain in his regular assignment.
Force List determination If the List has a Fill Priority defined, this box must be checked; otherwise, the Fill Priority defined in the List will be ignored.
Field Name Vacancy Strategy ‘Condition’ Field Description
Fill Vacancy if Enter a Dynamic Argument in this field and in proper format to determine the condition which directs the application to fill a vacancy.
  Example: <>POSITIONHASSPECIALTY(2)means to fill all vacancies except those that require a specific specialty. In this example, the "2" specifies the gray number of that specialty.
Suppress Vacancy if Enter a Dynamic Argument in this field and in proper format to determine the condition which directs the application to suppress a vacancy. The position displays on the Roster, but the vacancy is suppressed.
  Example: DURATION<=2 means to suppress all vacancies that are equal to or less than 2 hours.
Suppress Position if Enter a Dynamic Argument in this field and in proper format to determine the condition which directs the application to suppress a position. The position is removed from the Roster when vacated by an exception.
  Example: STATION=1 & JOBTITLE=4 means to suppress the Captain’s position when vacated at Station 1. In this example, the "1" specifies the unique Identifier for Station 1 and the "4" specifies the unique Identifier for the Captain job title.
Split Vacancy if Enter a Dynamic Argument in this field and in proper format to determine the condition under which the application will split a vacancy.
  Example: DURATION=24Split by (hours)12means target vacancies that run for 24 hours and automatically split into 12 hour vacancies.
Split by (hours) Defines the number of hours to split the vacancy into. Use with Split Vacancy if.
Field Name Vacancy Strategy ‘Staffing Order’ Field Description
Condition Condition specifies the staffing order on the roster.
Add New Click to add a new condition.
Order The order of the positions described in the Conditions area. The lowest number has the highest priority. Use the arrows to change the order.
Tiebreaker In case two vacancies have the same priority, this value breaks the tie. Either the duration or creation date of the vacancy will determine the order in which vacancies will be staffed. This drop-down menu provides ascending or descending sort order for each selection.
  • None: The vacancy duration or creation date is not a consideration when prioritizing order.
  • Duration Ascending: Shortest vacancy is given priority.
  • Duration Descending: Longest vacancy is given priority.
  • Creation Ascending: The first vacancy created (oldest creation date) has priority.
  • Creation Descending: The last vacancy created (most recent creation date) has priority.
