Staffing: Add Jobs

Same Add jobs functionality available on the Planning board is available on the Staffing board as of application version 7.3.

Jobs can be added to one or more blueprints. Changes to any predefined data on the blueprint will apply to that instance of the blueprint only. To apply changes to this blueprint and any subsequent blueprints go to Blueprints in Setup and change the actual blueprint template.

Important: Functions inside the pencil icon target the corresponding Blueprint only. This means if you select jobs in Blueprint 1 and Blueprint 2, click the pencil icon for Blueprint 1 and select Add Jobs then only the selected jobs on Blueprint 1 will be added

When using the Add Jobs function you area essentially adding any job onto the blueprint or multiple blueprints, be sure to review the fields, and apply the correct List Plan when adding jobs to a blueprint. A maximum of one-hundred (100) jobs can be added at one time using the Add jobs function. A maximum of one-thousand (1000) jobs in total can be added or cloned onto the Staffing board which includes jobs already on the board; for example, suppose the Staffing board has 999 jobs presented on the page, this means only one more job can be added or cloned.

To use the Add function1 on the Staffing Board in application 7.3 or greater follow the steps below:

  1. Go to the Staffing board.
  2. Options are select a single blueprint or select multiple blueprints.
    1. To add jobs across the desired blueprints or a single blueprint use the Jobs menu and click Add.
    2. To add jobs to one specific blueprint use the pencil icon menu for that blueprint and click Add Jobs.
  3. Add jobs opens. Note the red asterisk indicator next to required fields. Configure the fields as desired.
    1. When* - Defines the start and end time for the job to be added. Default is During, this means during the same time as the selected and corresponding Blueprint. Options are: After, Before, and During. When choosing Before or After, the Adjust Start and End Time cannot be total zero or a negative duration. For example, if when is set to Before and Adjust Start Time: -60, the job starts one hour before the start time of the Blueprint’s shift.
    2. Job* - Displays the jobs defined in setup.
    3. Adjust Start Time -/+ * - The start offset for the selected job in minutes. Net Duration cannot be zero or negative when applied with Before or After settings.
    4. Adjust End Time -/+* - The end offset for the selected job in minutes. Net Duration cannot be zero or negative when applied with Before or After settings.
    5. Cost per hour - The hourly pay rate of the selected job. Format: Decimal.
    6. Quantity - The number of times the selected job appears on the event using this blueprint and field inputs within.
    7. List Plan* - Contains all List Plans as configured in Setup > Rules. The selected List Plan will be the default List Plan for the selected job when using Fill By Rules.
    8. Specialty - Contains a list of specialties as configured in Setup > General > Specialty. All selected specialties will be required for the selected job on this blueprint. If Specialty X, Y, and Z are selected then a person must have all of the selected specialties to meet the criteria.
    9. Group - Contains a list of Groups as configured in Setup > General > Group. The selected Groups will be required for the selected job on this blueprint. If X, Y, and Z are selected then a person must have all of the selected Groups to meet the criteria.
    10. Vacancy Strategy - Contains a list of vacancy strategies as configured in Setup > Roster > Vacancy Strategy. The selected Vacancy Strategy will apply to the selected job in this blueprint.
    11. Override Name - Used to rename the selected job, this blueprint will show the new name but keeps the setup configuration of the selected job which includes job staffing rules.
    12. External ID/Dimensions Assigned Job - This field may be modified using the pencil icon next to the position in Edit Jobs when this blueprint is deployed on the Planning or Staffing board. This optional field stores reference data that identifies the selected job in an external application. Limit 40 characters.

      Customers using Dimensions will see either the Dimensions job or list of applicable jobs based on the selected job in the Job field, or a list of applicable jobs based on the selected job and specialty combination. A Dimensions job can be referenced in the Dimensions Generic Job (External ID) field at the template level, doing so will auto-populate the field when deployed on the Planning board. If blank, the external ID can be identified upon blueprint deployment on the Planning or Staffing board; the list of Dimensions jobs derives from the Business structure in Dimensions. Additionally, the external ID may be modified on the Planning or Staffing board upon deployment for one blueprint at a time.

    13. Account - This optional field stores an account code or cost center for the selected blueprint job. This field may be modified using the pencil icon next to the job in Edit Jobs when this blueprint is deployed on the planning board. Limit 50 characters.

      Customers using Dimensions will see the Dimensions cost centers applicable to the selected Job or the selected Job and Specialty combination. You can apply the external ID at the template level, doing so will auto-populate the field when deployed on the Planning board. If blank, the external ID can be identified upon blueprint deployment on the Planning board. Additionally, the external ID may be modified on the Planning board for one blueprint at a time

  4. Click Save.
1 Add jobs function is generally enabled, but disables when a blueprint is currently being allocated.
