Import Skills and Certifications

An initial population of skills and certifications is possible using a formatted CSV file: import-skills and-certs-sample.csv.1 The location and naming of each of the required folders is located in the <installation directory>/configuration/integration.properties. The import process is an unattended process. Results of the import are found in the application logs under system settings.

  • Obtain the sample data file import-skills and-certs-sample.csv from the distribution in the \integration\samples\ folder.
  • User must have the authority permission Import Manager: Full Access granted to a user in order to process imports in the \integration\import\ folder.
  • To start the Import Manager, set the field Run Import Manager as, to <self>. Located in Setup System > Import Manager > Initial Import.

  • CSV is the required format. If the file format is changed to facilitate populating the data, the end result must be in the formatted CSV file provided - otherwise the import manager will fail.
  • Use the skills and certs csv to populate skills and certifications.
  • Use the person-in to populate legacy specialties..
  • Do not rename columns. Column titles are case sensitive.
  • Do not change the format. Columns must be formatted correctly.
  • Do not add alternate data formats. Alternate data formats are not supported.
  • When labeling items in the application be sure that labels make sense in a staffing environment and fit staffing configuration requirements.
  • A person identifier of External ID, Payroll ID, or Employee ID is required to assign skills and certifications to people via the import manager.
  • A person identifier is not required to create skills and certifications using the import manager check box Create Setup Records in the Import Manager > Skills and Certifications pane.
  • Only one skill or one certification can be imported per person per row. A person with multiple skills and certifications requires multiple rows, one row for each item. For example, suppose Joe has skill X, and Y, and certification Z. To import, insert three rows for Joe, one row for skill X, another row for skill Y, and a row for certification Z.

Real Time Update:
  • Importing data can overwrite existing data in the application. Before you import review and set Import Manager settings as desired in System > Import Manager> Import Skills and Certifications.
  • Before running an import, be sure to back up the <application name> database.
  • The minimum requirement to assign a specialty is one of three identifiers and either Skill:Name or Certification:Name.
  • The minimum requirement to create a specialty is either Skill:Name or Certification:Name - and check Create Setup Records in the import manager.
To import skills and certifications for personnel:
  1. Populate the Skills and Certification CSV file with your data.
  2. Place your Skills and Certs CSV file in the integration/import/person.in folder.
  3. The application looks for a new file on a periodic basis and will begin to process the file.
  4. Check the <installation directory>\integration\import\n.processedfolder for successful imports and person.errorsfolder for failed imports.

Data from the spreadsheet is imported into the application; mapped data elements from the file have been created or updated.
