Notification Groups are notifications typically used for work code status changes and part of the advanced path of Workflow Business Processes. The advanced path turns notifications on for work code approvals, trade acknowledgments, and trade cancellations. Notification Groups are required in order for the system to notify the appropriate group or groups of people for approvals.

Notification Groups do not grant users the ability to approve a work code. Generally, Notification Group members must have the authority to approve a work code for the people assigned within a Notification Group. Notifications are sent via the Contact Manager and Email Manager. Emails are sent when the Email Manager is configured to do so and the user has a valid email address in their contact information, otherwise only a notification upon user log in is shown. |
The people assigned to a Notification Group will receive a notification when any of the advanced workflow business processes are turned on and a work code requires action from an Approver. People assigned to a notification group are people who can approve or deny or take action on a work code transaction for the person making the request.
All applicable Notification Group members will receive a notification for work code approvals. However, any one of the approvers within a Notification Group should be able to take action such as, approve or deny a work code. This includes shift trade transactions which only require one approver to approve the entire shift trade transaction, meaning both halves of the trade. This includes instances where distinct notification groups for each half exist. One Approver halves.
Moreover, a person who is part of a Notification Group does not need the ability to approve a work code although in most cases they do need the ability to approve. Edge case example, a secretary or a payroll clerk could be added to a Notification Group to support and remind the busy Approver.
After creating a Notification Group, you must assign people to the Notification Groups. Use the Notification Group Assignment area in Setup to multi-assign personnel to a specific notification group or groups or go to the person’s General information tab to set one person at a time. To assign more than one person to a notification group you may also use the multi-edit feature on the People page.
In application version 6.7 Notification Groups were expanded to encompass the disablement of unit and positions on the Roster. When authorized users disable or re-enable a Unit or Position on the Roster a notification can be sent to a group of people to inform them that a unit or position has closed, shut down, or is out of service... As such, a person who receives a notification with unit closure activity does not need the ability to disable a unit or position on the Roster to be a part of a notification group.

To turn notification groups on for a Unit or Position, go to the Organizational structure and locate the desired organizational level. The application will use the Notification Group found at the lowest level of the Organization. For example if the Unit level does not define a Notification Group, then the application will check the Station level and work its way up the Organizational structure until it finds a notification group.
