People Area

The ability to have access to this screen and the ability to change information is limited by your system Authority. Depending on the settings configured by your organization’s system administrator, most of the fields in this area are disabled. Only a few fields may be enabled for users to maintain. For example, most users can only edit contact method fields, and only view all or some of the remaining fields. A staffing administrator may also have limited ability to change profiles or assignments. Those with enough security clearance will be able to access the entire area.

The People area contains a list of all the staff members in the database. The People page initially displays all people with active records and active profiles. Only active staff members show by default on the target date. Use the date selection box, weekly arrows, or pop-up calendar to change the focal date of the People page. If a person does not have an active profile on the focus date of the People page then that person will not be included in the list. Accessing the person can be done by using the Show All but Inactive function inside the gear icon, or choosing the date the person is active.
Field Name Description
Add Used to add new personnel.
Clone Cloning copies field values located in the General, Profile, and Assignment tabs. Use this feature to quickly create a person’s record that is similar to an existing staff member. Be sure to review all of the fields and edit relevant fields.
Delete Used to delete a record. Deleting will remove all historical references to the item.
Audit A report displays WHO created, deleted, changed... a record, WHEN they did it, and the NAME of the record affected.
Gear Used to query personnel, export people records, or wrap data in cells. Choices are:
  • Show All But Inactive: Used to return people with no profile on the target date.
  • Show Inactive: Used to return inactive personnel.
  • Wrap Text in Cells: Used to wrap text in the cells when truncated.
  • Export to CSV: Used to export data.
  • Restore Panel Defaults: Used to return the panels to the default location. Field enables when Enable resize features is checked in System > System Information. Available as of application version 7.2+.
  • Table Column Settings: Contains column display options. Field enables when Enable resize features is checked in System > System Information. Available as of application version 7.2+. See Table Column Settings topic for additional information.
Filters Used to select, create, or edit existing filters. Choices are:
  • <no filters>: Used to return the list of people with no filter applied.
  • Show Filter Failures: Used to explain why a person failed a filter. Displays the Filter Failure column with failure details if any for the selected person.
  • Show Filter Edit Panel: Used to display the filter panel where additional filters, or limits can be used and filters saved.
Date Arrows Used to reload the page one day forward or back.
Target Date The date shown is the target date when running queries or building the People page. The system evaluates staff attributes and returns active staff members that meet the query criteria on the target date supplied.
Now Activated when a Roster Option is selected in the People Filter. Click the Now button to display all employees who are on the Roster right now. When activated, this button indicates that the displayed people satisfy the filters at the moment that the button was activated. When not activated, this button reverts to display people who satisfy the filters some time during the selected date.
Date Arrows Used to reload the page one day forward or back.
Search Used to search for personnel by name, rank or key using any of the names specified in the column headers.
Search Options The icon that looks like a magnifying glass with a gear is used to change your search options. The default settings retrieve the most optimal results.
Select All Used to select the entire list of personnel within focus.
Person Check Box Used the check box next to the person to select that person.
Person Menu Box Choices are:
  • Calendar... - select to open the selected person’s calendar.
  • Edit...- select to Edit the selected person or people.
  • Reports... - select to run reports for the selected person.
  • Contact... - select to view the selected person’s contact information.
  • Outbound...- select to outbound a message to the selected person or people.
  • Attachments... - select to add an attachment to the selected person or add a shared type attachment to the selected people.
