About Roster Records (Checked vs. Unchecked)

Important
It is important to create records to preserve historical data and run many of the canned reports - including payroll. Fixing or Finalizing or both secure the data on the Roster.

The system builds the Roster based on personnel Shift Assignment details and Position setup information. Work codes become ‘actual’ records when modified, fixed, or finalized. Actual work code records have a check mark next to the work code.

Roster work code records have four states:

  1. Regular Duty - these work codes are scheduled records driven by the person’s assignment. These work code records are in a projected state and are clear of any check marks.
  2. Modified/Fixed - these work codes are actual records and display a gray check mark when modified or Fixed.
  3. Finalized - these work codes are locked and display a black check mark when the Roster is finalized; usually done for payroll processing.
  4. Modified Checked Record - these are multiple and conflicting work code transactions for the same person, such as a fixed regular duty code, followed by a sick code. The invalid work code displays a white check mark on the Roster and withdraws from the Roster after applying Fix, Finalize, or Repair.
Note:

Work codes with a check mark and an asterisk * are requests for time off or earned. Requests are not actual records until they are approved.

Additionally, the Edit feature is sometimes used to create work code records for a single person or a specific group of people occupying different areas on the Roster. When using the Edit feature to create records, it is best practice to continue fixing and finalizing the Roster as normal to capture all work code records, especially projected records.
