Add Notes on the Roster

Attachments were enhanced in version 6.7 to facilitate the data entry of attachments on the Roster. This enhancement introduces Inline notes or Inline attachments allowing users to quick click and add attachments.
Attachments are generally speaking notes in this application. Attachments vary and their behavior is based on settings defined by your System Administrator in the Setup area. Attachments display on either the selected date, or dates, or indefinitely when using the classic attachment page. Inline attachments display for the day. The user interface enables the options based on the selected attachment’s configuration in setup. Additionally, if an action cannot be completed the system will alert you.

This task will cover the inline attachment method and the classic attachment.

To attach an inline notes:

Add Inline Attachment

  1. Go to the Roster.
  2. Locate the organizational level or person to apply a note and click the paper clip icon located to the far right of the Roster.
  3. The Attachment menu options displays: click Add to apply a Note or select a predefined note if the selected attachment group is configured with predefined notes. Max character length: 200.
    • Number of Attachments at the selected level in (1) top left.

    • Add - used to add an additional attachment. To your first attachment type your text in the text box.

    • Remove - the icon that looks like a red circle with a minus sign is used to remove the attachment. No Undo or Confirmation window.
    • Edit - locate the attachment and use the text box to edit. The Group menu is disabled in Edit mode.
    • Search - applicable to Attachment Groups with predefined entries. Type % to show all entries.

    • More Details - navigates to the classic attachment page.
  4. When ready, click Save and either click the X on top right or click outside the popup to close the window.

Use the Classic Attachment View

  1. Go to the Roster on the desired date.
  2. Click any of these areas on the Roster to enable Attachments: Person, Position, Unit, Shift, Institution, Agency, Region, Station, or Unit.
  3. The Attachment panel displays and enables your options based on the selected Attachment Group.
  4. In Group, select an attachment. The attachment items listed are user-defined during configuration.

    *** BE CAREFUL OF INFINITE ATTACHMENTS *** Be sure to review the From and Through dates to prevent infinite attachments on the Roster.

  5. From and Through fields enable when the Attachment Group has been configured as Temporary. Otherwise, the Attachment Group has an infinite Through date. When the From and Through fields enable use them to limit the visibility of the attachment within the date(s) specified.
  6. In Attachment, enter your note.
  7. In Assigned To, select an item from the list. If the Attachment Group is Shared more than one item from the list may be selected.
  8. Click Save to confirm your settings.
  9. Click Done to close the panel.
